Rate of Pay – $48,880 – $50,630 per year 

Basic Function: Performs administrative support services under the general direction of the Human Resources Director and Business Office Supervisor.  The Financial and HR Assistant is supervised and evaluated by the Human Resources Director and Business Office Supervisor.

Specific Responsibilities:

      • Fulfills duties and responsibilities generally associated with the position of Administrative Assistant, including preparation of confidential materials and maintenance of confidential files for both the Business Office and Human Resources Department.
      • Assists with performing payroll processing by reviewing timecards, edits garnishment calculations, and reviews payroll deductions.
      • Assists with preparing the Agency’s payroll and related reports.
      • Assists with coordinating the Agency’s employee benefits and payroll deduction program.
      • Assists with preparing payroll reconciliation work papers.
      • Assists with all functions of the Business Office and Human Resources Department.
      • Maintains confidentiality of all aspects of the Business Office and Human Resources Department.
      • May performs bank reconciliations, as needed.
      • Assists with banking functions, as needed.
      • Assists with compiling attendance data for all programs.
      • Assists with preparing Agency billings and service reports.
      • May assist with processing employee status changes and forwards changes affecting payroll.
      • Assists in preparing reports, letters and/or informational documents as requested.
      • Assists with the Agency’s fingerprinting business.
      • Assists Human Resources with pre-screening applicants as part of the new hire process.
      • Completes all annual training requirements.
      • Performs all other duties as assigned.

 

Minimum Education/Experience

Verifiable documentation of education.  Associate’s degree in human services field or comparable demonstrated skill development and two (2) or more years of administrative support services experience preferred.  General knowledge of accounting is preferred.  Experience with payroll processing highly regarded. Proficient in spreadsheet applications.  Must meet the requirements of Direct Support Person (DSP) training.  Must have a valid driver’s license and insurable driving record. Experience with persons with developmental disabilities and mental challenges preferred.

Language and Skills

Successful completion of the Short Test of Functional Health Literacy in Adults (STOFHLA), testing ability to read. This is a professional position, which requires good verbal and written communication skills with the expectation of projecting a professional demeanor in all circumstances.  Ability to appropriately utilize available computer programs and systems is required, and proficient use of Microsoft Excel is essential. The ability to prioritize responsibilities and multi-task is crucial.  The ability to interact with individuals served by this Agency, guardians/parents/family members, employees and other supervisory/management personnel is essential.

Must be able to complete all physical requirements of the position with or without a reasonable accommodation. Successful completion of Essential Functioning Test (EFT) verifying ability to lift at least seventy-five (75) pounds.
